Attendance Policy
Consistency is key. Coming regularly helps children keep pace with their progress, development and growth. It also means we always know who is on site.
In short
- Sessions run Monday to Wednesday, 5:30pm – 7:30pm.
- Please let us know before the session if your child will be absent.
- A register is taken every session and kept as a formal record.
- If your child is absent without notice, we will contact you to check they are safe.
Regular attendance is essential for a child’s progress in Qur’an, Islamic studies and character. Attendance also matters for safeguarding: knowing exactly which children are on site keeps every child safe.
Session times
The maktab runs Monday to Wednesday, 5:30pm – 7:30pm. Term dates and holidays are published on our Maktab Calendar.
Registers
- A register is taken at the start of every session and retained as a formal record.
- Late arrivals and early departures are recorded.
- Registers are used in any evacuation to account for every child.
- Attendance records are available to parents and to the local authority on request.
Reporting an absence
Parents must inform us before the session starts if their child will be absent, by WhatsApp to 07943 821496, giving the reason and the expected date of return. If a child is absent without notice, we will contact the parent to confirm the child is safe.
Punctuality
Children should arrive five minutes before the session begins. Late arrival disrupts the class and means the child misses valuable time with the teachers. Persistent lateness is discussed with parents.
Authorised and unauthorised absence
- Authorised: illness, medical appointments, family bereavement, religious observance, and other circumstances agreed with leadership in advance.
- Unauthorised: absence with no explanation, or reasons not accepted by leadership such as avoidable appointments during session time.
Persistent absence
- Where a pattern of absence emerges, the teacher raises it with leadership.
- Leadership contacts the parent to understand the reasons and offer support.
- Where absence continues, a meeting is arranged and an attendance plan agreed.
- Where we cannot make contact with a family and are concerned for the child’s welfare, we follow our Safeguarding Policy and may contact Walsall children’s social care.
- Prolonged unexplained absence may result in the place being offered to a child on the waiting list. Fees remain payable as set out in the Fees Policy.
Withdrawing a child
Parents intending to withdraw their child should notify leadership in writing so that records can be closed correctly and any outstanding fees settled.
